The formula
Utilization % = billable hours ÷ bookable hours × 100
Bookable hours excludes admin blocks, protected documentation time, meetings and unpaid breaks. Productivity uses your whole paid day instead, which is why the two numbers differ.
The utilization target is the target your employer sets for utilization, if it sets one.
Worked example
Example: 5.3 billable hours against 6.7 bookable hours is 79.1% utilization. The same day against 7.5 paid hours is 70.7% productivity. The same work reads 8.4 points apart on the two measures.
Common questions
Which measure is fairer?
Utilization, if you do not control your own schedule, because it does not charge you for paid time that was never bookable.
What counts as bookable?
Time your department offers to patients. If 50 minutes of a 450 minute day is protected admin, it should not be bookable.
How do I convert between them?
Productivity = utilization multiplied by (bookable hours divided by paid hours).
