    The formula

Sessions to book = sessions required ÷ (1 − no-show and late cancellation rate), rounded up.

    Share of paid time in sessions = (sessions × length ÷ 60) ÷ paid hours × 100

Notes and everything else come out of the paid hours left over.

    Worked example

A counselor required to see 25 clients a week, with a 10% no-show and late cancellation rate. They book 25 ÷ 0.9 = 27.8, so 28 sessions. Twenty-five 50-minute sessions are 20.8 clinical hours, 52.1% of a 40-hour week. Ten minutes of notes per session adds 4.2 hours, leaving 15.0 hours for everything else. These inputs are an example, not a standard.

    Common questions

Is there a standard number of sessions a week?

No. Employers and group practices set their own requirement, and they define it differently: sessions attended, hours billed, or clinical hours. Use the number in your contract.

Do no-shows and late cancellations count against me?

Often they do, because the requirement counts sessions that took place. One way to allow for it is to book above the requirement, which is what the first result shows.

Why does the note time matter?

Notes are part of the job but rarely count as sessions. If sessions plus notes fill most of your paid hours, there is little left for supervision, calls and scheduling.
